Vendors play an important role in the Summer Fun Feast Fest
festival helping to promote and showcase local businesses &
organizations in our community. Becoming a vendor at one of
our family based festivals will help you get the word out
about your product, enabling you to do live demonstrations
and sharing product/service knowledge with patrons of the
festival.
We welcome local and remote retailers, food,
artisan and home based business vendors to participate in
our festival. This is an excellent opportunity to connect
directly with your customers and to expose your products to
an estimated 10,000 patrons daily
Please provide a FULL list of products and prices. You
will
not be permitted to sell any items you have not listed.
Northern Community Events Group, at its discretion, may
require you to revise your offerings for this event due
to
contractual obligations with other vendors. Northern
Community Events Group does not guarantee exclusivity on
the
sale of any specific type or item of food. Alcoholic
beverage sales by vendors will not be permitted.
Vendor shall provide, at its sole expense, all necessary
equipment, materials, and personnel required for its
participation in the Event, including, without
limitation,
any required permits or licenses. Vendor shall comply
with
all applicable laws, rules, and regulations in
connection
with its participation in the Event. Vendor shall
maintain
the cleanliness and safety of its designated area within
the
Location and shall remove all trash, debris, and
equipment
at the conclusion of the Event.
Food Vendors must complete a
special event food service permit application and submit
it
to the Sudbury Health Unit. A copy must also be provided
to
Summer Fun Fest.
INDEMNIFICATION
Vendor shall indemnify,
defend, and hold harmless The Host, its officers,
directors,
employees, and agents from and against any and all
claims,
losses, damages, liabilities, costs, and expenses
(including
reasonable attorneys' fees) arising out of or relating
to
Vendor's participation in the Event or any breach by
Vendor
of any representation, warranty, covenant, or obligation
under this Agreement.
INSURANCE
Vendor shall, at its sole
expense, maintain comprehensive general liability
Insurance
with limits not less than $2,000,000.00 naming, as
additional insured parties: 1. Northern Community Events
Group Limited 2. The City of Greater Sudbury Vendor
shall
provide The Host with a certificate of Insurance
evidencing
such coverage a minimum of 10 days prior to the Event.
Festivals Policies and Procedures
The event will run rain or
shine - there are no refunds for any vendor fees
Roadways
and gates will be closed during the event and vehicles
will
not be granted access to the grounds until the end of
each
day. NO EXCEPTIONS
All tents and items must be weighted
down
properly, you are responsible for your own setup and no
materials are provided by the festival/organizer/city.
Tents
cannot be tied together and must be a minimum of 10ft
apart.
All vendors take full responsibility for any damages
caused
to the ground, locations, facilities and any other parts
of
the park/festival grounds and will be responsible for
any
costs associated with the repair, replacement or
cleaning of
any damages they are responsible for. Vendor spots
should be
left in the same condition that they were upon arrival,
including clean up of garbage, boxes, etc..
Security
will be
provided nightly however the festival, organizer and/or
City
of Greater Sudbury accept no responsibility for any loss
or
damage to a vendors site or contents.
Vendors must
pre-arrange setup times with festival organizers prior
to
arrival to ensure everyone has adequate time for setup.
All
vehicles must be OFF-SITE 1 HOUR BEFORE the opening of
the
festival grounds each morning. There are NO EXCEPTIONS
to
this rule.
